Travel Acknowledgement
PLEASE READ THIS CAREFULLY
Congratulations!
You have been selected to attend a SERTC First Responder
Course. These are
challenging courses and we are committed to accelerating your
preparation from day one. Also,
the courses are Federally-funded and under intense scrutiny with
Federal Government travel and SERTC travel restrictions, however, travel arrangements are made with great care and concern
for your safety, convenience, and comfort.
Your personal information is confidential and not shared
with any third party.
Our convenient yet accountable travel process is carried
out in three simple steps:

Traveler submits First Responder Travel Request through
website.

Traveler acknowledges travel request is correct by replying
to this email.

Traveler receives electronic itinerary via email.
Travel Policies:
Acquaint yourself with the following travel policies to
avoid unallowable and non reimbursable costs.
There are no travel out-of-pocket expenses as the SERTC
First Responder course funds your airline ticket, hotel room,
and rental car:

Airline Ticket: You
will receive a roundtrip, non-refundable, pre-paid airline
electronic ticket.

Travel Days of the week: You must
not have work or personal events planned on Sunday
departure. You must be prepared to return on Friday or
Saturday. Due to heightened scrutiny, there are very
limited exceptions given only by Jeff Armijo Paradise Travel
CEO.

Hotel Room:
Your hotel room is pre-paid, but does not include
incidentals such as long distance phone calls, movies, or
room service so you will be asked to provide a credit card
to cover those non reimbursable expenses at check-in.
You will incur a credit card pre-authorization of $25 per
day for a maximum of $150.00 upon check-in at the
hotel. The hotel serves an awesome breakfast for under $9.

Rental Car:
Your rental car is pre-paid.
You must return the vehicle with a full tank of fuel.
You will request for fuel reimbursement from SERTC.
You will not be reimbursed for car upgrades, additional
liability coverage, pre-paid fuel, GPS, or toll-roads.
The rental car includes loss damage waiver coverage
for your safety. Toll-road
charges will be invoiced to the driver of the vehicle.
In order to limit carbon emissions and reduce expenses
allowing more First Responders to attend students departing
from the same airport will share rental cars. Rental
cars are assigned by the following: one student =
compact, two students = mid-size, three to four students =
full-size. If you think you need your own vehicle only
Jeff Armijo, Paradise Travel CEO can grant this exception,
but send it by email he will not accept phone calls for
these requests. You will be charged for any changes to
the rental car assigned by Paradise Travel and this is
strictly enforced so do not make any changes to your rental
car reservation at the Hertz counter what you don't know
will cost you so always call Paradise Travel at
1.800.631.0606 or email us at respond@goparadisetravel.com.

Special requests:
If you want to depart early or return later than
scheduled and authorized, then submit a travel request with
a special request containing your exact special request in the special request box.
Special requests are considered and are not guaranteed.
They will be scrutinized based on price,
availability, and regulations. Once Jeff Armijo,
Paradise Travel CEO, determines we will fulfill your special
request, then be prepared to provide a credit card for
additional expenses. Due to recent abuses and higher
scrutiny for special requests more controls are being
enforced. We are
providing special requests for your convenience yet we must
make sure to use the grant resources so that more First
Responders can attend. You should schedule your class
knowing the authorized travel dates. Paradise Travel
will determine which expenses go to you and which go to the
school.

Cancel:
Due to abuses of this privilege to cancel your
non-refundable airline ticket, your name will be sent to the
State Administrative Agent for the DHS grant if you do not
follow these instructions. If you cancel the course and the ticket has already
been purchased, then send an email to Paradise Travel
explicitly stating the reason you are canceling, state that
you understand the Cancel Policy, obtain a
reschedule date within 72 hours, and attend the course
within 3 months. We will tell you when the ticket is
purchased without exception because sometimes the ticket is purchased but not
yet emailed to you. This policy is strictly enforced
so I would plan your dates off today without delay.

Baggage Fees:
The SERTC First Responder course will reimburse for one
baggage fee on each way of your trip. Keep your
receipt from the airlines. Southwest Airlines does not charge baggage fees,
however, all other airlines do charge a baggage fee.
Also, check airline websites for current baggage fee
policies especially for additional and
special-bag baggage fees.

Driving:
The SERTC First Responder course will reimburse the
lower of the three options:
cost of the airline ticket, cost of a rental car with
fuel from hometown or cost of privately owned vehicle use at
$ .50 per mile. If you
want to drive, then submit a travel request requesting to drive in the
special request section. We will contact you via email
with the quotes.
For emergencies during travel call 1.800.631.0606 as an
agent knowledgeable about the SERTC First Responders is here 24
hours. In emergencies you must remain calm and prepare
yourself for a grueling travel day. When you call me you
can expect for me to give you options. You must remain
calm and do not be elusive about the delay or cancel as
everything is written in the airline's record. I am here
to help you but you must remain calm and inform me of
everything.
For any travel questions pertaining to the airline ticket,
hotel room, or rental car always call Paradise Travel to get the
most accurate information. Again, always call Paradise
Travel to get the most accurate information regarding airline
ticket, hotel room, or rental car. For the third time,
when it comes to the airline ticket, hotel room, and rental car
only Paradise Travel has the most accurate information so email
or call us first even when you are in class.

If you placed the travel request on behalf of students,
then please keep students informed of this information.
Also, the name on the electronic ticket is very important to us,
the airline, and TSA. When you submit a travel request for someone other
than yourself and the name is not spelled as printed on the
driver's license, then YOU will pay the airline change fee. You must get the name right or you will be charged
for any mistakes this is an absolute zero tolerance policy and
strictly enforced. The best practice is to get a copy
of the fellow travelers driver's license, because if you make a mistake you are going to pay to
make the change no doubt about it. You and I agree that
you are warned. I would not go further if you don't have a
copy of the fellow travelers driver's license.
Folks if you take the time to plan your trip and read these
instructions your satisfaction will increase. If you are
coming with someone and you have not talked with them you better
not even think about submitting a travel request. If I
see that you are coming with other students and the travel
requests are not organized I will immediately cancel your travel
request, contact you by cell phone, then walk each student
through submitting the travel request. You have been
warned so plan today. I would not continue with this process unless you
have called, emailed, talked and thoroughly planned with other
students coming with you. You must inform your supervisor
for days off and you must inform your family as you must
not have anything planned on travel days (did you read that!) as these will not be acceptable
excuses for any changes to the airline ticket. You were
selected to attend this class
so take the required time off and inform the required
persons. I guarantee you this: If you call to later
tell me something that is on this page I will email you the
contents of this page at that time to remind you that you were
warned to plan and you did not heed this simple request.
Folks you need to plan that is not my responsibility and it will
cost a lot of money if you don't.
Each student is responsible for the policies above.
You must read them and make sure you understand them
because lack of knowledge is not an acceptable. You and I agree that
planning for this trip is the professional thing to do. I would stop right now and re-read the
policies above. I would not be in a hurry to send this
request without reading the policies above. If your
mistake costs money then you will be responsible for the charges
not SERTC and NOT Paradise
Travel.
